Vendor Information
Thank you for your interest in the 2025 Memorial Plaza Maker's Market. The Memorial Plaza Maker's Market is a juried market focused on showcasing local, handcrafted goods. The market reserves the right to decline applications that do not align with the event's focus on handcrafted goods. To maintain diversity, categories will be capped. If your category is full, you may choose to be placed on a waitlist. The market runs from 12PM to 8PM at Memorial Plaza, Parksville Downtown.
All vendors (excluding food trucks) will be assigned a 10'x10' space. Vendors are responsible for providing their own tables, chairs, and displays. Anchored tents with attachable walls are recommended for shelter from weather conditions.
To become a vendor, read through the information below and complete the Vendor Application Form. Submissions will be reviewed by our jury panel and a response will be sent to the email provided in the form. Accepted vendors will be required to pay the appropriate booth fee within 72 hours of being notified.
Booth Fees
Early Bird (Before April 30, 2025): $60
Regular (After April 30, 2025): $75
Food Trucks: $100
General Rules for Vendors

Vendors are expected to be respectful and considerate of all others in the market, at all times. Any vendor acting in an unsafe or disrespectful manner will be removed immediately.

All products must be handmade by the applicant. Resale items are not permitted.

Vendors must arrive between 9:30 AM and 11:30 AM for set-up. All displays must be set up by 11:50 AM. Late arrivals may forfeit their space.

Vendors are responsible for providing their own tables, tents, and displays.

Vendors must keep all belongings within their site boundaries. Signs and belongings are not to block pedestrian traffic or block neighbouring displays.

Booths must remain open for the entire duration of the market. Early takedown is not permitted.

Vendors are responsible for cleaning their booth area before leaving.

No amplified music or disruptive activities are allowed.

All vendors must comply with local health and safety regulations.

The Site Coordinators reserve the right to reassign sites and relocate vendors as deemed necessary.

Vendors are not permitted to change assigned sites.
Food Vendors

Food vendors must abide by all current VIHA regulations and must provide a VIHA permit with current decal.

Vendors must state the size of food truck, trailer, or cart on the application.
Liability
By submitting a completed vendor application, you agree to release and hold harmless the organizers of the 2025 Memorial Plaza Maker's Market, herein referred to as 'the market organizers,' and any affiliated parties from any and all claims, demands, losses, damages, or injuries arising from participation in the market.
Each vendor is responsible for their own insurance, taxes, and business compliance.
The market organizers will not be responsible for any items at booths and shall not be responsible for security of individual booths whether the exhibitor’s booth is staffed and open to the public, or not. The market organizers shall not in any event be responsible for care and control of the exhibitor’s equipment and property or the equipment and property of third parties used by the exhibitor, all of which is the sole responsibility of the vendor throughout the Memorial Plaza Maker's Market.
Cancellation Policy
In the event of extreme weather conditions or unforeseen circumstances that make it unsafe or impossible to proceed with the market on August 9, 2025, the organizers will attempt to reschedule the event. Vendors will be notified as soon as possible, and all efforts will be made to accommodate rescheduling. No refunds will be issued due to weather-related cancellations, but vendor fees will be applied to the rescheduled date if applicable.
Vendor Cancellation
If a vendor needs to cancel their participation, the following refund policy applies:
Before April 30, 2025 – Full refund
Before June 30, 2025 – 50% refund
After June 30, 2025 – No refund
